Administrative Associate

As our Administrative Associate, you play a vital role in maintaining the efficiency and functionality of our office environment. You will be responsible for overseeing office upkeep and maintenance, ensuring cleanliness and orderliness across all spaces. Additionally, you will assist in managing permits, licenses, and facilities, as well as supporting purchasing activities and asset management processes. Your attention to detail and proactive approach will contribute significantly to the smooth operation of our administrative functions.

Responsibilities

  • Regularly inspect office spaces to identify areas requiring cleaning, repairs, or maintenance.

  • Address any maintenance issues or repair needs promptly by reporting them to the appropriate department.

  • Ensure that common areas, such as meeting rooms, pantries, and restrooms, are well-maintained and stocked with necessary supplies.

  • Assist in organizing and arranging office furniture, equipment, and materials to maintain a neat and orderly workspace.

  • Assist in setting up and organizing office events, meetings, and conferences, ensuring cleanliness and readiness of venues.

  • Support in coordinating with government agencies for the renewal and acquisition of permits and licenses.

  • Assist in sourcing and procuring office supplies, equipment, and materials as per departmental needs.

  • Maintain vendor relationships and negotiate favorable terms, pricing, and delivery schedules.

  • Assist in maintaining an accurate inventory of office assets, including furniture, equipment, and technology devices.



Skills & Qualifications

  • Knowledge of office maintenance procedures and best practices.

  • Excellent communication skills to liaise with vendors, colleagues, and external stakeholders.

  • Proficiency in budget management and financial record-keeping.

  • Ability to multitask and prioritize tasks effectively.

  • Professional demeanor and customer service orientation.

  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.

  • Familiarity with seat leasing concepts and practices is a plus.

Education & Experience 

  • Bachelor's degree in Business Administration, Management, or related field.

  • At least 1 year of experience in administrative or office support roles. Experience in coordinating with vendors, suppliers, or service providers.




30% Night Differential Pay

The standard night differential pay in the Philippines is 10%. Our rate is 2x higher than that of other companies.
